The Super 4 Reports
You probably have month end and year end procedures in your business (if you don’t, it’s probably time to check out Pacific Solutions’ system checklist HERE) but waiting for the month end or year end leaves many things unaddressed for long periods of time. Often, what should easily be a two day closing cycle can then turn into a two week clean-up event, likely leaving the system operator and team beyond frustrated. The month end closing does not happen in a timely manner because of the build up over the four weeks.
The reports serve the ultimate goal of lighting all the blue status button enabling a Mass Job Closing routine (rather than manually closing each job):
Super Report #1 focuses on material that is not Delivered. Has material been ordered, received, and delivered? The daily process of delivering Pick Tickets should be emphasized, and this weekly review jogs the Warehouse mind to ensure all the Deliveries that went out this week were processed in the system. This has both physical and financial impact on the system.
Super Report #2 focuses on Labor. Have all the job lines gone to a WO? And have all the WO’s been processed? This has a direct impact on the costs, profits, and GPM of the job. It can affect Accounting as well.
Super Report #3 focuses on Revenue. If the material has been Delivered and Labor has been paid out, why haven’t we Invoiced the customer yet? Let’s close that Revenue gap.
Super Report #4 focuses on material cost verification from the Accounting pint of view. Was the material fully received, and fully cost verified? Until the material records are completed, the lines of the job won’t reflect full or accurate job costing. This can affect Costs, Profits and GPM of the jobs.
